Privacy Policy

This privacy policy outlines what data is collected from you by x.factory Librarians and 3rd party companies during purchase fulfilment and how your data is used. Hopefully it is written in plain language and not legal jargon. If you have any queries regarding this policy then please email info@xfactory-librarians.co.uk

x.factory Librarians is a small unregistered venture, operated only by myself, Derek Cook. As such I rely upon 3rd party providers for payment processing, licensing and mailing lists.

The companies that I have selected for payment processing, licensing and mailing lists are, I believe, all trusted and reputable companies in their field.

DATA COLLECTED

First, no data is collected unless you purchase a license, sign up to the x.factory Librarians newsletter or email me.

If you purchase a librarian, then information will be collected by Fast Spring and License4J as part of the order fulfilment process. What is collected by Fast Spring and License4J is explained below.

If you sign up to the x.factory Librarians Newsletter either as part of order purchase or if you sign up to the x.factory Librarians mailing list via the Contact and Newsletter page, then your details will be held by MailChimp, which is a marketing automation platform and an email marketing service which doesn't share your details with anyone. What is collected is explained below.

If you email me, then the emails are recorded whilst the correspondence is active. How emails are processed is explained below.

THE INFORMATION COLLECTED BY FASTSPRING

The x.factory Librarians webstore and payment processing is managed using Fast Spring. All orders will be processed by Fast Spring and data collected regarding your order will be in accordance with their terms and conditions and privacy policy, which also explains the data that they collect.

The data is collected to allow your x.factory Librarian orders to be fulfilled, including processing further actions if required, such as processing refunds.

You can request to see the information held on you by Fast Spring by emailing email privacy@fastspring.com. Alternatively you can request that x.factory Librarians provides the data held by Fast Spring by emailing info@xfactory-librarians.co.uk.

THE INFORMATION COLLECTED BY LICENSE4J

When you purchase an x.factory Librarians license, a unique License4J license is created and emailed to you as part of the order fulfilment process. A License4J data record is created for you from the FastSpring order information, in accordance with their terms and conditions and privacy policy, which also explains the data that they collect.

The License4J information is required so that your purchased librarian can be licensed and activated on your computers.

The licensee information held by License4J is the same as that which you receive in the "Your Order" email as part of purchase fulfilment.

When you activate a license on a computer, a small amount of information about your computer is stored. This includes, computer name, system disk volume ID and hard disk serial number and operating system. This information is used to tie the license to your computer, and this is no different to how most software is licensed and activated these days to deter software piracy.

You can request to see the information held on you by License4J by emailing info@license4j.com. Alternatively you can request that x.factory Librarians provides the data held by License4J by emailing info@xfactory-librarians.co.uk.

THE INFORMATION COLLECTED BY MAILCHIMP

No information will be collected by MailChip unless you opt into receiving the x.factory Librarians newsletter

Your data entered into the Fast Spring hosted webstore will be collected by Mail Chimp only if you opt into receiving the email news letter during checkout.

The same information is also collected if you sign up to the x.factory Librarians mailing list via the Contact and Newsletter page.

Your details will be held by MailChimp in accordance with their terms and conditions and privacy policy.

You can view and update your details from the update your preferences link at the bottom of any newsletter, or you can email info@xfactory-librarians.co.uk at any time and request to see it. If changes are required to this information, then I am happy to update it at your request.

You have the right to unsubscribe to the newsletter at any time if you no longer wish to receive product information via email, which will delete all the information held on you.

THE INFORMATION THAT X.FACTORY.LIBRARIANS COLLECTS

x.factory Librarians collects no data directly during order fulfilment, license creation or mailing list subscription. All data is held by the identified 3rd party companies.

I receive email records of order fulfilments. I archive these, and they are automatically deleted after 90 days. You can request deletion of your order fulfilment earlier than that if you prefer by emailing info@xfactory-librarians.co.uk

If you report a problem or have queries and get in touch via email, then this will generate email correspondence between us. This of course an action initiated by yourself to request support, and I am responding to your request.

Emails like this are processed like any general email correspondence by standard email client software on my personal computer. Please do not disclose any sensitive information in these email transactions.

Once query or support email correspondence like this is complete, I archive the correspondence and it is automatically deleted after 90 days. You can request its deletion earlier than that if you prefer. I would recommend that you keep a copy of the correspondence in case you need to refer to it for any reason and you can then resend it to me if needed to carry on the original correspondence.

SENSITIVE INFORMATION

Data Protection law recognises that certain categories of personal information are more sensitive such as health information, race, religious beliefs and political opinions. x.factory Librarians, nor the 3rd party companies identified do not collect this type of information.

COOKIES

A cookie is a text file sent by a web server to a web browser, and stored by the browser. The text file is then sent back to the server each time the browser requests a page from the server. This enables the web server to identify and track the web browser, which is quite normal when you are making web purchases as this is the way that the web server keeps track of your shopping cart, for example.

The x.factory Librarians website does not use Cookies, other than temporary cookies used by the Fast Spring hosted webstore to manage the shopping cart and checkout process.

DISCLOSURE OF INFORMATION

This privacy statement positively identifies the 3rd parties used during order fulfilment, licensing and mailing list management.

No information will be disclosed to any other 3rd parties (i.e. other than those identified in this privacy statement) without your prior consent.

The transmission of information over the internet, especially email correspondence, is not completely secure. I will do my best to protect your personal data, but I cannot guarantee the security of the data transmitted to this site or exchanged via email and any such data exchange is at your own risk.

UNSUBSCRIBING/RIGHT TO BE FORGOTTEN

You have the right to unsubscribe from the newsletter at any time if you no longer wish to receive product information via email, which will delete all the information held on you.

If required I can also request that the FastSpring and License4J information is deleted on your behalf. However, please be aware that this may affect your ability to use the product(s) you have purchased, as all records of your purchase and licensing will be permanently lost, which will be at your own risk. If you require this action then please email info@xfactory-librarians.co.uk.

WHAT HAPPENS WHEN YOU FOLLOW LINKS FROM THE X.FACTORY WEBSITE?

If you follow links to other websites from my website your data will be subject to the privacy policies of those sites. You should refer to these policies before providing your data. x.factory Librarians has no control over the content of other websites

PRIVACY POLICY AMENDMENT

This policy was last amended May 2018.

I may update this privacy policy from time-to-time by posting a new version on my website. You should check this page regularly to ensure you are happy with any changes. I may also notify you of changes to my privacy policy by email.
